Privacy Policy

The short version: Audio never leaves your device. Only text transcripts leave your phone — securely, and only to power the coaching features (stored in Google Firebase; analyzed by Anthropic's Claude). We never sell your data, and you can delete your account and all associated data at any time.
1. Who We Are
Reflect ("we," "us," "our") provides a speech recording and personal reflection service through the Reflect mobile application. We are not a medical provider. Reflect is not a substitute for professional therapy, counseling, or mental health treatment.
2. What We Collect
Audio — Stays On Your Device
The Reflect app captures audio through your device's microphone while recording is active. Raw audio is processed entirely on your device using on-device AI models and is never transmitted to our servers. Audio is discarded immediately after transcription.
Text Transcripts
After on-device transcription, text transcripts (never audio) may leave your device to power the coaching features. Transcripts are:
- Sent to Anthropic (Claude AI) to generate your insights and coaching responses
- Stored in our cloud database (Google Firebase / Firestore) so your history stays in sync across your devices
- Encrypted in transit (TLS) and encrypted at rest
- Kept for as long as your account is active, and removed when you delete your account
- Never sold to third parties, and never used to train AI models

Email address, subscription status, and device registration information.
3. How We Use Your Data
- Analyze communication patterns to generate personalized growth insights
- Deliver daily and weekly coaching recommendations
- Maintain your subscription and account
- Send push notifications with your insights
4. Your Responsibilities
Reflect is a tool. You, the user, are solely and exclusively responsible for how, where, and when you operate it. By using Reflect, you confirm and agree that:
- You will use Reflect only in private settings that you own or control, and you shall not use Reflect to record any person, conversation, or communication in any public place, or in any circumstance, manner, or jurisdiction where doing so would violate applicable wiretapping, eavesdropping, two-party or all-party consent, privacy, or other laws.
- You will obtain any and all consent required by law from every person whose voice may be captured.
- All adults in your household have been informed about and consent to being recorded, and you will pause Reflect when non-consenting guests are present.
- You are solely responsible for compliance with recording laws in your jurisdiction. In some US states (including California, Florida, Illinois, Massachusetts, Maryland, Michigan, Montana, Nevada, New Hampshire, Oregon, Pennsylvania, Washington, and Connecticut), all parties to a conversation must consent to recording.
- You are 18 years of age or older, and any incidental recording of minors occurs under your parental or guardian authority.
- You agree to indemnify, defend, and hold harmless Reflect AI and its operators from and against any and all claims, damages, losses, and liabilities arising out of or related to your use of the app, including any unlawful, public, or non-consensual recording. We provide the software; you are accountable for its lawful operation.
5. Not a Substitute for Professional Care
Reflect AI is not a therapist, counselor, or medical provider, and does not provide therapy, counseling, medical, or mental-health treatment of any kind. It is a self-reflection and communication wellness tool offered for general informational and educational purposes only. Its insights are generated by AI, are not professional advice, and should never be relied upon as a substitute for the guidance, diagnosis, or treatment of a qualified professional.

6. Children's Privacy
Reflect is intended for adults 18 and older. We do not knowingly collect personal information from children under 13 as account holders. Children in the household may be incidentally recorded under the consent of their parent or legal guardian who has accepted this Privacy Policy.
7. Data Retention
- Text transcripts: kept for as long as your account is active — this is what lets Reflect reflect on your growth over months and years — and removed when you delete your account
- Insights and pattern summaries: kept while your account is active; removed when you delete your account
- Account data: in-app deletion is immediate; email requests are completed within 30 days
- Free-trial record: after deletion we retain only your email address and the date your free trial started, to prevent the same email from repeatedly claiming a new free trial. This holds no conversation content.
- Billing records held by Google Play may be retained by Google to meet its legal and tax obligations. Reflect never stores your card details.
8. Your Rights
You may at any time:
- Export your data — download all transcripts and insights as JSON via Settings → Export My Data
- Delete your account and data — permanently erases your account, transcripts, and insights via Settings → Manage Subscription & Account → Delete Account (immediate)
- Pause recording: one tap from the home screen or notification bar

9. Third-Party Services
- Anthropic (Claude AI) — text transcripts are sent to Anthropic's API for analysis. Subject to Anthropic's Privacy Policy.
- Google Firebase — authentication, database, and push notifications. Subject to Google's Privacy Policy.
- RevenueCat — subscription management. Subject to RevenueCat's Privacy Policy.
We do not use advertising networks. We do not share your data with data brokers.
10. Sensitive Content
Reflect is a communication-reflection tool, not a crisis or safety service, and is not designed to detect or respond to emergencies. Language that may relate to a mental health or safety crisis is automatically excluded from AI analysis. 11. Security
- Local database encrypted with SQLCipher (AES-256)
- All network communication encrypted with TLS 1.3
- Server-side data encrypted at rest
- Firebase Security Rules prevent cross-account data access
12. Billing, Cancellation & Refunds
All purchases and renewals are processed by Google Play — we never see or store your payment details. You can cancel anytime from Settings (which links to your Google Play subscriptions) or directly in Google Play, and you keep access until the end of the current paid period. Cancelling stops future charges but does not retroactively refund the current period. Refunds, if applicable, are handled by Google Play according to Google Play's refund policies.
13. Changes to This Policy
We will notify you of material changes via push notification and by updating this page. Continued use of Reflect after changes constitutes acceptance.
